In this role, you will play a vital part in the daily operations of the association, providing exceptional administrative support while ensuring a smooth and welcoming experience for residents and vendors.
You will thrive in a fast-paced environment, demonstrate excellent communication skills, and possess a keen eye for detail.
This is a fantastic opportunity for newly licensed individuals to gain valuable, hands-on experience in property management.
Work schedule is Wednesday - Sunday, 8:
00AM - 5:
00PM.
Responsibilities:
Administrative Support:
Maintain accurate records, files, and databases, following established association procedures and guidelines.
Handle mail collection and distribution, prepare correspondence, and manage document flow.
Perform word processing and data entry tasks with efficiency and accuracy.
Order and maintain office supplies, ensuring smooth daily operations.
Resident and Vendor Relations:
Greet and assist walk-in visitors, addressing their needs efficiently and documenting requests.
Verify vendor and resident sign-in, ensuring proper protocol and access control.
Respond to phone inquiries courteously and professionally, providing accurate information and timely follow-up.
Facility Management:
Coordinate and manage club room rentals for residents and board members.
Secure the clubhouse, pool, restrooms, tennis courts, and playground through comprehensive camera surveillance and regular on-site rounds.
Report any suspicious activity or maintenance issues promptly.
Additional Duties:
Program fobs and vehicle barcodes, completing necessary paperwork and collecting fees.
Assist with event set-up and logistics as needed.
Maintain a positive and professional demeanor while upholding the association's values.
Qualifications:
LCAM - does not need to have prior experience/newly licensed ok Strong organizational and multitasking skills Excellent communication and interpersonal skills Attention to detail and commitment to accuracy Ability to follow procedures and guidelines Proficient in computer skills and common office software such as Microsoft Office Suite, Excel, etc.
