This position will be hybrid remote, working from home, and reporting to the office as requested.
A Flight Planning Coordinator plays a crucial role in ensuring smooth and efficient operations for our VIP charter airline.
This position is responsible for various aspects of flight planning and coordination to ensure flights are conducted safely and according to schedule.
Primary
Responsibilities:
Flight monitoring:
Responsible for continuously tracking the progress of multiple flights, ensuring they adhere to their planned routes, schedule, and safety protocols.
Responsible for maintaining constant communication with the pilots and other relevant personnel to provide updates, relay important information, and make necessary adjustments to the flight in real time.
Weather Analysis:
Responsible for monitoring and analyzing weather patterns to ensure safe and efficient flight plans, including the identification of potential hazards like turbulence or storms.
NOTAMs:
Responsible for checking NOTAMS, a critical task to ensure safety and compliance with airspace regulations.
Flight Planning and Coordination:
Develop and optimize flight plans considering factors like weather conditions, air traffic, aircraft performance, and regulatory requirements.
Collaborate with relevant departments (dispatch, maintenance, and crew scheduling) to ensure that all aspects of the flight are well-coordinated.
Collaborate closely with other aviation professionals, including pilots, ground crew at FBOs, and to ensure smooth flight operations.
Prepare and distribute operational flight plans, including route details, fuel requirements, and alternate airport information.
Responsible for resolving issues that may arise during flights, such as route changes, airspace restrictions, or logistical challenges, to minimize disruptions and ensure passenger safety and comfort.
Responsible for working diligently to identify and resolve problems promptly when clients encounter issues or have questions.
This includes providing solutions, offering technical assistance and/or connecting clients with the appropriate resources when problems arise.
Emergency and Contingency Planning:
Develop and communicate contingency plans for various operational scenarios, including diversions, medical emergencies, and equipment malfunctions.
Documentation and Reporting:
Maintain accurate records of flight plans, weather briefings, and operational data.
Generate reports summarizing flight planning activities and performance metrics.
Regulatory Compliance:
Stay up to date with relevant aviation regulations, including those related to flight planning, dispatch, and operational control.
Excellent attention to detail, organizational skills, and ability to manage confidential information with discretion and integrity.

Education and
Experience:
Previous experience in flight planning, dispatch, or related aviation operations.
Proficiency in flight planning software and tools (e.
g.
, Jeppesen, FlightAware, Jet Insight, etc.
).
Demonstrated knowledge of aviation regulations and procedures.
